Responsibilities

  • Perform general secretarial, clerical, and administrative duties including typing, data entry, and filing.
  • Coordinate and arrange all nursing meetings, new hire orientation, and in-services.
  • Coordinate and oversee residents, dental, and podiatry visits.
  • Maintain and distribute staffing schedules, including holiday schedules.
  • Monitor changes in scheduling needs and update staffing schedules accordingly.
  • Contact staff and contracted nurse agencies to provide staffing coverage.
  • Ensure agency credentials are up to date and maintain agency cost tracking and invoice processing.
  • Post staffing census at nursing admin office and on the units daily.
  • Provide support and communication between Nursing Services and other departments as directed by the Director of Nursing Services.
  • Take and transcribe meeting minutes for Licensed Staff and Certified Nursing Assistants meetings.
  • Prepare and submit reports, projects, letters, and signs to the Director of Nursing Services.
  • Utilize HR Symphony for staffing, generating schedules, and inputting changes regarding employee status.
  • Assist with staff/agency compliance and attendance for all regulatory trainings.
  • Assist in the orientation of new Nursing Services employees, including preparing new hire orientation schedules.
  • Assist with bi-weekly payroll preparation by adjusting time clock punches and entering notes from Time Clock Correction and Call Out slips.
  • Perform other duties as assigned.

Qualifications

  • Previous experience in database entry and medical office administration preferred.
  • Training in office skills such as computer, typing, and filing.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical, organizational, multitasking, and problem-solving skills.
  • Ability to maintain confidential information. 
  • Ability to work in a fast-paced environment and meet deadlines.
