Our client is seeking an experienced administrative professional to join their team as the Office Administrator. In this role, you will be responsible for answering phone calls, scheduling meetings, maintaining company database, and processing financial reports, grants, and grantee data.

The ideal candidate will have 2 years of previous administrative experience and experience with conference systems including Zoom or Teams.

Pay

$57,000 to $62,000 a year

Responsibilities

  • Answer phone calls and relay messages.
  • Schedule and coordinate meetings.
  • Maintain and update the database with grants, grantee data, and non-profit standings.
  • Assist with invoice intake, approvals, and the preparation of monthly expense reports. 
  • Organize and file electronic and paper documents.
  • Manage inventory of office supplies and equipment.
  • Draft, proofread, and edit routine correspondence.
  • Send confirmations acknowledging receipt of reports and proposals.
  • Perform other duties as assigned.

Qualifications

  • Minimum 2 years of experience in administrative support or operations.
  • Previous experience with conference systems including Zoom or Teams.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems like FileMaker and/or Access.
  • Familiarity with computer hardware and basic troubleshooting.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical and organizational skills.
  • Ability to multitask and problem-solve.
  • Ability to handle confidential information.
  • Ability to work both independently and in a team setting.
