A busy health clinic in Kona is seeking a dedicated and professional Executive Administrative Assistant to assist their leadership team. This role is crucial in providing clerical support to the senior executives, particularly the CEO and Medical Director. In this role, you will be responsible for making travel arrangements, document filing, bookkeeping, and answering phone calls for the CEO.

The ideal candidate will have 3 years of previous administrative experience and be proficient with Microsoft Office applications.

Full-time, Monday to Friday, 8:00am-4:30pm

Pay

$25 to $28 an hour

Responsibilities

  • Maintain the CEO's and Medical Director's calendars and organize meetings.
  • Answer phone calls for the CEO, handle messages, and manage voicemails.
  • Greet all visitors of the CEO and provide them with quality customer service. 
  • Provide monthly data analysis as requested by the CEO.
  • Support logistics planning for all events and travel arrangements for the CEO and staff.
  • Attend meetings, take minutes, develop agendas, and distribute minutes.
  • Maintain confidentiality regarding patient, staff, and clinic information.
  • Create mailing lists, labels, merged documents, and reports.
  • Assist with the production of presentations.
  • Perform other duties as assigned.

Qualifications

  • High school diploma/GED required.
  • Bachelor's degree or equivalent education and experience preferred.
  • Minimum 3 years of previous administrative experience.
  • Proficient with Microsoft Office (Word, Excel, Outlook).
  • Proficient typing and note-taking skills.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical and organizational skills.
  • Ability to handle confidential information.
  • Ability to multitask and problem-solve.
  • Ability to work independently and in a team setting.
  • Ability to adapt to changes and manage competing demands.
  • Ability to pass pre-employment state and federal background check and drug test.
